Configure a Client Portal

Set up project portal visibility, branding, invites, documents, conversations, invoices, hours, forms, and CSAT.

Configure a Client Portal

Use the client portal to share controlled project information with customers.

Before You Start

Confirm that:

  • The project exists.
  • Customer contacts exist.
  • Portal settings are enabled.
  • Branding is configured.
  • Client-visible content has been reviewed.

Steps

  1. Open Settings.
  2. Go to Portal Builder.
  3. Configure branding, sections, and visibility defaults.
  4. Open the project.
  5. Review project plan, status updates, documents, files, invoices, hours, forms, and action items.
  6. Mark only the intended content as client-visible.
  7. Send portal invites to the right contacts.
  8. Verify the client view before sharing broadly.

Portal Sections

Common sections include:

  • Project overview.
  • Plan, phases, milestones, and visible tasks.
  • Team.
  • Updates.
  • Documents and files.
  • Conversations.
  • Action items.
  • Hours.
  • Invoices.
  • Forms.
  • CSAT.

Copilot Prompt

Try:

What should I review before inviting Medicaleshop to the project portal?

Copilot should summarize portal readiness using project, account, contact, asset, invoice, and visibility context when available.

Troubleshooting

If a client cannot open the portal:

  • Confirm the invite email is correct.
  • Check whether the invite expired.
  • Resend the invitation.
  • Confirm the project is still accessible.

If a client cannot see expected content:

  • Check section visibility.
  • Confirm the record is marked client-visible.
  • Review project portal settings.

If a client sees too much:

  • Remove visibility from sensitive records.
  • Review portal defaults.
  • Audit recently shared files and updates.
